Acceptable Use Policy

RentTracker is built to help landlords and property managers keep rent organized and communicate professionally. This policy explains what is and is not allowed when you use the platform. It applies to every account, and it forms part of our Terms of Service.

What RentTracker Is For

  • Tracking rent amounts, due dates, payments, and late fees for units you manage
  • Storing notes and records related to your own tenancies
  • Drafting and sending courteous rent reminders and payment follow-ups

Communication Rules

You are the sender of any message you create with RentTracker, including pre-drafted emails. You must review every message before sending it. You may not use RentTracker to:

  • Harass, threaten, intimidate, or abuse a tenant or anyone else
  • Send messages at unreasonable frequency or at times intended to disturb
  • Misrepresent amounts owed, legal consequences, or your identity
  • Send anything that functions as a formal legal notice, such as a pay-or-quit notice — those must be handled through proper legal channels
  • Send marketing, bulk mail, or messages unrelated to the tenancy

Data and Privacy Rules

  • Only enter tenant information you have lawful authority to collect and use
  • Do not store sensitive information the product is not designed for, such as Social Security numbers, bank credentials, or immigration status
  • Do not share your login, and do not access another landlord's account or data

Legal Compliance

You are responsible for complying with landlord-tenant law and any city or county ordinances that apply to you, including rules about late fees, notice periods, and rent collection. RentTracker does not decide whether a fee is lawful or whether a message satisfies a legal requirement, and it does not provide legal advice.

Platform Rules

  • No attempts to breach, probe, overload, or reverse engineer the service
  • No scraping, automated bulk access, or reselling access to the platform
  • No uploading malware, or content you do not have the rights to use
  • No use of the service for anything unlawful

Enforcement

If we believe an account is violating this policy, we may limit features, suspend, or terminate the account. Where the situation allows, we will try to contact you first. Serious violations, including harassment or unlawful activity, may result in immediate termination.
