RentTracker is operated by Apollo Rental Systems LLC ("RentTracker," "we," "us"). This policy explains what information we collect, how we use it, and the choices you have.

Information We Collect

Landlord account information: When you create an account, we collect your business name, email address, and password (stored securely by our authentication provider, not visible to us in plain text).

Tenant information you provide: To use RentTracker, you enter information about your tenants and rental units, including tenant name, email address, property address, unit label, rent amount, due date, late fee amount, and payment status. This information is entered and controlled by you, the landlord — RentTracker does not independently collect or verify it.

How We Use Information

We use this information to:

• Operate your dashboard and rent-tracking features
• Calculate payment status and due dates
• Send rent reminder emails on your behalf, once you have enabled that feature
• Provide customer support
• Maintain the security and integrity of the platform

Who We Share Information With

We do not sell your information or your tenants' information, and we do not use tenant email addresses for advertising.

We share information only with service providers who help us operate RentTracker, including:

• Supabase, which hosts our database and handles authentication
• Our email delivery provider, once reminder sending is enabled, to deliver reminder emails

These providers process data on our behalf and are not permitted to use it for their own purposes.

Data Security

Landlord accounts are isolated from one another at the database level — one landlord cannot access another landlord's properties or tenants. Data is encrypted in transit and at rest through our hosting provider's infrastructure.

Your Choices

You can request access to, correction of, export of, or deletion of your account information at any time by contacting us at hello@getrenttracker.com. We will respond within a reasonable time.

Data Retention

We retain your account and tenant information for as long as your account is active, or as needed to provide the service. If you delete your account, we will delete or anonymize your data, except where we are required to retain records for legal or security purposes.

Changes to This Policy

We may update this policy as RentTracker changes. We will update the "last updated" date above when we do.
